Tenant Application Requirements

- We will collect the rent on the first of each month by using the online app. Our PO Box is also available for mailing rent.
- We will deposit rents received into the owners account by the 10th of each month or sooner.
- We will post the received payments in your portal the day the payment is received by lessees/tenants.
- We will prescreen during the application process to limit the risk of late or no payments.
- We does not provide a rental payment grace period for lessees/tenants. The rent is due on the due date so you get your payment sooner. The eviction process may start quicker reducing your loss and maximizing your investment gain.
- Payment history for the life of the property management agreement will be available in the app 24/7.
- A year end tax statement will be provided in a timely manner to Owner/Investor.
- In unfortunate and rare occasions, we will serve a 10 day pay or quit to begin the enforcement of rental payment or will begin the eviction process the first day the law will permit. All further paperwork and documentation required to assure a court date to execute eviction due to lack of payment will be conducted by Monument & Tri Lakes Property Management Specialists. We will appear in court on your behalf as the property management representative. The Owner/Investor is responsible for legal counsel.
Maintenance, Repairs, and Inspections
It is our job to ensure your property remains in good working condition to protect and provide you with the highest cash flow possible for the current market. We will update you with inspection reports and pictures in written form every 6 months.
Inspections
- Prior to move in, we will take a video and pictures of the property's condition both inside and out. These pictures will be emailed to the lessee to time stamp the condition of the property upon occupancy.
- Lessee/Tenant will receive a property condition move in document that they will complete and return per the contract deadline date.
- Inspections every 6 months with pictures. Any repairs needed will be addressed at that time in writing. It is our expectation to consistently keep your property in good working condition.
- You will receive pictures of your property after each walk through.
Maintenance and Repairs
- Lessee/Tenant portal will allow for 24/7 maintenance requests.
- We have a list of vendors and repair providers that our past clients and customers have been happy with to this point. These vendors and licensed contractors will be approved by the Owner/Investor within the agreement.
- Maintenance requests are visible to the Owner/Investor immediately in the portal.
- Emergency calls to owner of Monument & Tri Lakes property Management specialists are available after office hours.
- We will coordinate all repairs for the Owner/Investor
- We will articulate if the repair is normal wear and tear or neglect. Normal wear and tear is the responsibility of the Owner/Investor and Neglect is the responsibility of the Lessee/Tenant. Guidelines are in the rental agreement.
- We will consult the Owner/Investor of repairs over a specifies amount found in the agreement prior to approving the repair.
- Billing for repairs will be withdrawn from account and put into the portal for Owner/ Investor review.
- Follow up surveys after repairs are completed.
- The most recent contracts will supersede this list. Please refer to the contract for more detail and updates to protocol.
Move In and Move Out Services
Move In Services
- Extensive background check for new applicants to include criminal history, credit, income and prior rental history.
- Provide the Lease: approved by lawyer and required by the state, annually reviewed for updates.
- Lease enforcement for the entirety of the lease.
- Accept collection of funds, full first month rent, and security deposits.
- Move in inspections with time stamped pictures of property condition.
- Move in inspection video with time stamp of property condition.
- Rekey and change combinations on door locks.
- Schedule and execute all property repairs prior to new renters' occupancy.
- Assure the property is in good working condition and habitable.
Move Out Services
- Coordinate property cleaners.
- Coordinate property repairs.
- Move out inspection with video and pictures.
- Coordinate removal of trash, debris, lessee’s personal property from the residence.
- Compare the move in condition to the current move out condition and balance the security deposit funds accordingly with debits from the security deposit.
- Coordinate annual and biannual inspections and repairs for systems that may apply to property such as sump pump, HVAC systems, sprinklers system, whole house humidifier, water purifiers, fireplace, appliances, washer, dryer vent.
- Provide the remaining deposit to renter/lessee with receipts for withheld deposits.
